Solution 06 · Digital Assistant

Your open items call you

The digital assistant reaches out by phone on its own: at the interval you choose, for instance hourly during working hours, and immediately for urgent items. It knows the current state of all channels from the Activity Cockpit and discusses the open items in conversation.

Resolve, reply, defer: all on the phone, on the road, in the car, between two meetings. Conversation control runs on your own infrastructure, the connection is private.

01 · What the solution delivers

An inbox waits passively · an assistant speaks up

What matters speaks up before it becomes urgent. The most productive time of the day is often the time without a screen at hand.

Calls on its own

No app to open, no checking in. The assistant dials your number whenever there is something to discuss, within the time window you define.

Knows the state

Its basis is the Activity Cockpit: all open items from email, Slack, Teams and LinkedIn, prioritised and with prepared reply drafts.

Resolves on the phone

Tick off, dictate a reply, set a follow-up, block time in the calendar, look something up in the knowledge base: all in conversation, without a screen.

Records cleanly

Every decision from the call lands logged in the cockpit and the knowledge base, with the option to undo. Nothing gets lost between receiver and list.

02 · Calls

When the phone rings

Three triggers, all configurable. Outside the chosen time window it stays silent.

IMMEDIATELY

Urgent items

A P1 item or an expiring deadline triggers the call right away, without waiting for the next interval.

ON SCHEDULE

Batched calls

At the chosen rhythm, for instance hourly or morning and afternoon, the new items are discussed in one go.

FOLLOWED UP

Overdue items

Items that stay open too long are raised again by the assistant, until they are decided.

03 · The conversation

What a call sounds like

Item by item, with a read-back before anything is sent. Interrupting is allowed at any time: whoever cuts in gets heard. And a brief “done” counts as consent, the assistant does not demand double confirmation for simple things.

Assistant: Three new items since the last call. Item one, urgent: a query from Nordwind Solutions on the quote, the deadline expires today. The reply draft: “Training is included in the package: two half-days on site, further sessions billed by effort.” Shall I send it like that?
Add: I will call on Thursday morning. Then send it.
Assistant: Added. Reading the ending once more: “… further sessions billed by effort. I will call you on Thursday morning.” Agreed?
Agreed.
✓ Reply sent · item ticked off · recorded in the log
Assistant: Item two: in the Alpsteiner project channel, sign-off on the test concept has been waiting for five hours …
Nothing is sent before the read-back and your explicit consent. A bare “yes” without a preceding question never triggers a send. Optionally the assistant does not send at all, but places the reply as a draft in the outbox of the respective channel: you review and send later by hand, configurable as you prefer. Names and companies in the example are fictitious.
04 · Capabilities

What is possible on the phone

The assistant does not just read the list out, it executes decisions.

Resolve and defer“Done”, “again tomorrow”, “follow up in three days”: the item is recorded immediately, with the option to undo.
Dictate repliesThe prepared draft is read out, your changes are worked in, the result is read back. Sending only after your consent. Optionally the reply is only placed as a draft in the channel's outbox, for reviewing and sending later by hand.
Ask for details“What did the original say?” or “When is that from?”: the assistant reads out channel, date and original text of the item.
Block timeFor a topic that needs quiet time, the assistant reserves a block directly in the calendar.
Search the knowledge base“What did we last discuss with this company?”: the assistant searches your own knowledge base and summarises.
05 · Data processing

What happens technically during a call

Six steps per conversation round. The core runs on your own infrastructure, the call connection is a private, encrypted network: no publicly reachable service, no subscription to a voice-agent platform. The speech services are selectable, including operation in Switzerland or in your own data centre.

On the phone every second counts: the architecture is built for answer speed. If a statement is unclear or contradictory, the assistant asks back instead of quietly recording the wrong thing.
06 · Why this makes the difference

The most productive time is often the one without a screen

Travel time becomes work timeHalf an hour in the car is enough to decide the morning's items.
Nothing waits for the eveningReplies happen during the day instead of piling up until after hours.
Deciding instead of typingThe draft is waiting. What remains on the phone is the decision, not the writing.
BindingnessWhat was discussed is recorded. No “I still meant to note that down” after the call.
Reachable without an appA phone is enough. No new interface to learn.

An inbox waits passively until someone looks inside. An assistant that calls reverses the direction: what matters speaks up before it becomes urgent.
07 · Implementation

As a project in three steps

Cockpit as the basis

The prerequisite is the Activity Cockpit with connected channels. Where it is missing, it is built in the same project.

Voice and rhythm

Call times, triggers and conversational tone are defined, the speech services chosen according to your data-handling requirements.

Settling into daily use

Start with one person, fine-tuning on real calls: wording, pace and commands are adapted to the user.

Interplay

The voice of the Activity Cockpit

The assistant and the cockpit share the same data basis: what is decided on the phone shows up in the cockpit, and what sits in the cockpit is known to the assistant. Both paths remain open in parallel: click on the screen or word on the receiver.
